About the Role

We are looking for a highly organized and detail-oriented Virtual Assistant to support day-to-day administrative and operational tasks.

This role is critical to keeping the business running smoothly—ensuring leads are followed up with, invoices are sent on time, schedules are organized, and customers are communicated with effectively.

You will work closely with the owner to help manage workflows, improve efficiency, and maintain a seamless customer experience.

This position is ideal for someone who thrives in a fast-paced environment, is highly organized, and enjoys supporting both customers and internal operations.

What You’ll Do

Administrative Support
* Handle day-to-day administrative tasks to support operations
* Maintain organized records and documentation
* Assist with general business support tasks as needed

Quote Follow-Ups & Customer Communication
* Follow up with leads and pending quotes via phone, email, and SMS
* Answer customer inquiries and provide timely responses
* Ensure no leads fall through the cracks
* Maintain a professional and friendly tone in all communications

Invoicing & Payments
* Create and send invoices to customers
* Track payments and follow up on outstanding balances
* Ensure billing accuracy and timeliness

Scheduling & Dispatch Coordination
* Schedule service appointments for customers
* Coordinate calendars and availability for field teams
* Handle rescheduling, cancellations, and updates
* Optimize daily schedules for efficiency

CRM & Systems Management
* Update and maintain CRM with customer and job details
* Track job statuses, notes, and communication history
* Ensure all data is accurate and up to date

What You Bring

Required Experience
* 2–4 years of experience as a Virtual Assistant, Admin, or Operations Coordinator
* Experience supporting a service-based business (home services preferred)
* Strong communication skills (written and verbal)
* Experience with scheduling, invoicing, and customer support
* High level of organization and attention to detail
* Ability to multitask and manage multiple workflows
* Ability to work independently in a remote environment
