Job Description
* Monitor live chat on our website during business hours and respond within 30 to 60 seconds. Handle any overnight chats first thing the next morning.
* Call every prospect who submits a form or books a meeting within minutes of the action.
* Monitor inbound lead alerts (form fills, partner referrals, demo requests downloads, Facebook lead form submissions) and ensure every new lead is contacted same-day, ideally within minutes.
* Speak confidently about our offerings (Elite, Professional, Guided Author, Publishing, Audiobook) on chat and on the phone, and answer general questions about what we do and who we serve.
* Use our lead scoring system to qualify and prioritize inbound leads, separating high-fit prospects from lower-intent traffic.
* Run a clean qualification conversation: confirm fit, capture context, and route qualified leads to the right closer with everything they need for a productive call.
* Keep HubSpot clean: accurate deal stages, properties, notes, lead scores, and next steps across the pipeline.
* Draft and send follow-up emails on behalf of closers so prospects hear back the same day a call ends.
* Create agreements and shepherd them through signature so closers can stay focused on selling.
* Own the follow-up cadence on open deals. Make sure every active opportunity has a clear next step scheduled and nothing sits idle.
* Work closed/lost deals and dormant leads in HubSpot to surface anyone worth a second conversation.
* Run reactivation sequences and outbound calls into old lead lists. Route warm responses back to the right closer.
* Call and email no-shows within an hour of the missed meeting to rebook before the lead goes cold. Track no-show recovery rates and report on patterns.
* Monitor LinkedIn from the Media account. Follow potential big leads, including Elite-level authors and notable book launches.
* Engage in comment sections and DMs to start conversations with anyone showing interest in publishing, writing a book, or asking questions about our company.
* Identify high-fit prospects from social activity and route them into the sales pipeline.
* 1 to 2 years of experience in a sales, customer-facing, or coordination role. Prior SDR/BDR experience is a plus but not required.
* Deep familiarity with HubSpot is a huge part of this job. You'll live in HubSpot every day: scoring leads, building sequences, keeping the pipeline clean, running reactivation campaigns, and reporting on speed-to-lead. If you're already fluent in HubSpot workflows, lists, sequences, and properties, that's a major advantage.
* Comfort with Claude Code (desktop) is also a huge part of this job. We use Claude Code to draft follow-ups, run lead research, build outreach at scale, summarize calls, and automate the busywork around sales. You don't need to be an engineer, but you do need to be the kind of person who picks up AI tools fast and uses them to do the work of three people.
* Excellent phone presence. You're comfortable picking up the phone within seconds of a lead coming in, talking with senior professionals, and qualifying without being pushy.
* A bias for speed. You understand that a five-minute response and a fifty-minute response are not the same job.
* Strong written communication. You can draft clear, on-brand chat replies and emails quickly.
* Highly organized with strong attention to detail. Nothing gets dropped.
* Familiarity with Gmail, Slack, Notion, and Fathom is a plus.
* Self-starter mentality. You can work through a list without being prompted and ask for help when you need it.
* Interest in books, publishing, or working with successful entrepreneurs and thought leaders.
* Experience in a high-velocity inbound sales environment where speed-to-lead was tracked.
* Experience with live chat tools and lead scoring systems.
* Experience building or managing email sequences in HubSpot.
* Hands-on experience using Claude, ChatGPT, or similar AI tools as part of a daily sales workflow.
