Instead of pitching cold buyers, we invite them onto a podcast as guests — a "recognition-first" approach that turns people who ignore cold outreach into warm, engaged conversations. Acquisition runs on a simple three-step flow: a triage / screening call, the podcast recording, and then a sales conversation. This system has generated over $200M in qualified pipeline across 50+ B2B clients.

About the Role

This role exists because a booked guest who never shows up is lost revenue — for us and for our clients. You own the guest experience from the moment someone is booked through the moment they show up to record.

You will manage the front end of our acquisition flow across roughly 10 client accounts. That means running the first-touch triage / screening call, confirming and preparing guests, and doing whatever it takes to keep show-up rates high. This is not a back-office scheduling job. You are often the first live human a prospect speaks with, so warmth, professionalism, and clear spoken English are essential. You will own a real number — guest show-up rate — and you'll be rewarded when you keep it above target.

Key Responsibilities

Guest Booking & Coordination
* Coordinate podcast guest scheduling across roughly 10 client accounts
* Manage multiple calendars, time zones, and recording slots without dropping details
* Serve as the reliable point of contact for booked guests from confirmation to recording
Triage / Screening Calls
* Run the first call in the acquisition flow: confirm fit, set expectations, and prepare guests for the podcast
* Represent each client professionally and make guests feel valued and at ease
* Capture and pass along the context needed for a smooth recording and follow-up
Show-Rate Management
* Own guest show-up rate and keep it above the 80% target
* Run confirmation and reminder sequences, and proactively rescue at-risk bookings
* Handle reschedules and no-show recovery quickly and gracefully
Client Account Management
* Keep each of your ~10 accounts organized, on-track, and up to date
* Track booking status, show rates, and outcomes per account
* Surface risks or patterns early so nothing slips through the cracks
Reporting & Communication
* Maintain accurate records in the CRM and scheduling tools
* Report show-rate and booking metrics per account
* Communicate clearly and consistently with the team and with clients

Required Qualifications
* 2+ years in appointment setting, inbound SDR, sales coordination, scheduling/EA, or customer success for U.S. B2B companies
* Outstanding spoken English with a neutral accent and strong phone/video presence — you will run live calls with U.S. prospects
* Exceptional organization; proven ability to juggle many calendars and accounts at once
* Hands-on experience with a CRM and scheduling tools (Calendly, HubSpot, or similar)
* Reliable remote setup and consistent availability during U.S. business hours

Preferred Qualifications
* Experience in podcast guest booking, webinar/event coordination, or similar high-touch scheduling
* A track record of owning and improving a show-rate or no-show-reduction metric
* Experience managing multiple client accounts in an agency environment
* Comfort representing several brands professionally and switching context cleanly
