We are a boutique, high-growth chiropractic and wellness practice specializing in premium, patient-centered care. Our model combines chiropractic treatment, manual therapy, SoftWave therapy, and targeted rehab for active adults and busy professionals.
We are seeking a Patient Intake & Sales Specialist to act as the primary bridge between our marketing efforts and our clinical team. This is a high-velocity, hybrid role that sits at the intersection of Healthcare Intake and Strategic Sales. You aren't just "booking appointments"—you are an educator and a qualifier. You will own the entire customer journey from the moment a lead clicks or calls, ensuring they understand our value proposition, qualifying them for fit, and securing their commitment with a deposit.
Key Responsibilities
I. High-Touch Lead Management & Outbound Sales
Outbound Execution: Own the lead tracker. You will spend the majority of your time making outbound calls to new email and web form submissions, ensuring a rapid "speed-to-lead" response.
The "Value" Pitch: Build deep value in what our initial appointment includes. You must be able to explain our specific care model (SoftWave, manual therapy, etc.) so that prospects understand why we are a premium choice.
Lead Qualification: Act as the firm's filter. You will hear patient concerns, evaluate if they are a genuine fit for our clinical approach, and proactively "un-sell" or redirect leads that do not fit our practice model.
II. Financial Onboarding & Commitment
Billing & Cost Transparency: Clearly explain our cost structure and the "what to expect" on the first visit. You will handle the objection-handling phase regarding pricing and insurance.
Securing Deposits: Manage the collection of the mandatory $75 new patient deposit. You are responsible for ensuring the appointment isn't just "on the calendar," but is a committed, paid booking.
Show-Rate Mastery: Implement follow-up loops via text and email to ensure high show rates for the clinical team.
III. Operational Support & Documentation
CRM & Scheduling: Maintain 100% data integrity within our CRM (GoHighLevel) and scheduling software (Jane App).
Clinical Liaison: Efficiently relay patient concerns and information to the clinical team so the practitioner is fully briefed before the patient walks through the door.
Growth Participation: Help improve the lead follow-up and onboarding process as the practice scales into a larger facility.
Who You Are
Experience & Must-Haves
Sales-Driven Intake: 3+ years of experience in appointment setting, sales development (SDR), or healthcare intake. You must be comfortable with high-volume outbound calling.
Health/Wellness Literacy: Previous experience in a health-related field (Chiropractic, PT, Fitness, or Wellness) is highly preferred. You need to be able to talk about "movement" and "recovery" with competence.
Elite Communication: Exceptional English with a limited/neutral accent is required for this US-based patient demographic. You must possess a warm, professional, and empathetic "bedside manner" that builds instant trust.
Technical Savvy: Proficiency with GoHighLevel, Jane App (or similar medical scheduling software), and Google Workspace.
