Operations Project Manager

Role Summary

This position serves as the operational backbone of a fast-moving online education company specializing in digital products and AI-focused growth programs for entrepreneurs. Working within a lean, remote, and highly automated team, the successful candidate will be responsible for keeping all operational cogs turning by converting high-level marketing and campaign strategies into clear, actionable project plans, managing team deadlines, maintaining backend technology, and ensuring every project and launch executes flawlessly on schedule.

Role Responsibilities

Project Management and Team Coordination
* Own Notion as the operational hub of the company: build project plans, set up trackers, assign tasks, and keep every active project visible and on schedule.
* Run the operating rhythm of the team: know what every team member is working on, follow up on deadlines, and flag blockers before they become problems.
* Translate campaign plans from leadership into executable project plans featuring clear tasks, owners, and target dates.

Email Marketing Operations (Kit)
* Oversee the email platform (Kit, formerly ConvertKit), maintaining full quality control over sequences, broadcasts, tagging, and automations.
* Serve as the oversight layer ensuring no email marketing assets go out wrong, late, or broken (noting hands-on Kit builds may be shared with an internal AI specialist).

Tech Stack and Systems
* Understand and manage backend technology, including Kit, Notion, ThriveCart (checkout platform), Teachery (course platform), Zapier, and other software tools.
* Build and maintain backend databases and trackers, including a business metrics dashboard in Notion that pulls in data across the business and remains continuously updated.
* Troubleshoot tech issues independently when tools break or fail to sync with each other.

Joint Venture (JV) Partnership Management
* Manage all logistics for JV partnerships, including guest teaching swaps, partner webinars, and software partnerships.
* Ensure partners receive all required materials on time, including links, swipe copy, assets, calendar invites, and organized information folders.
* Track every partnership from initial agreement through execution and post-campaign follow-up.

Customer Support Backup Layer
* Provide managerial support to a part-time customer support specialist by assisting with judgment calls, escalations, failed payment follow-ups, and process questions to prevent them from landing on executive leadership.
* Help document decision-making processes and policies, including building these into AI tools for support team usage.

AI-Powered Operations
* Use Claude daily as a core operational tool for drafting, organizing, building systems, processing information, and automating repetitive work.
* Help maintain and continuously improve the company’s AI infrastructure for operational workflows.
* Default to asking "can AI do this faster?" prior to executing any process manually.

Required Skills & Experience (Hard Skills)
* Experience:3+ years in an operations, Online Business Manager (OBM), project management, administrative, or similar operational role.
* Online Business Background:Prior experience working within an online business environment (courses, coaching, digital products, or agency) is preferred.
* Email Marketing Platforms:Hands-on experience with email platforms (Kit/ConvertKit preferred; ActiveCampaign, MailerLite, or similar acceptable).
* Notion Mastery:Advanced Notion skills, including databases, relations, and building systems completely from scratch.
* AI Tool Proficiency:Demonstrated daily use of AI tools (Claude preferred) in an operational context, with the ability to show real-world execution examples.
* Team Project Management:Experience managing projects across a small remote team.
* Language Skills:Extremely strong, fluent English (written and verbal).
* Nice-to-Have Technical & Data Skills:Familiarity with the online course/creator economy (launches, webinars, evergreen funnels, affiliate and JV partnerships).Experience with checkout platforms (ThriveCart or similar), course platforms (Teachery), and Zapier/automation tools.Experience supporting or managing a customer support function.Data skills, including building dashboards, tracking KPIs, and keeping metrics clean.
