Role Summary
We are seeking a highly detail-oriented, cross-functionalHR & Data Entry Assistantto serve as a vital administrative engine for our growing organization. This position requires an operator who comfortably balances back-office data precision with high-agency personnel and executive support.
You will manage two core operational domains: keeping our wholesale supply chain, order fulfillment, and logistics pipelines running seamlessly, while simultaneously owning our end-to-end internal HR administration—including bi-weekly payroll processing, PEO system management (JustWorks), and direct executive assistance to our Co-Founders. The ideal candidate is a high-agency individual who takes complete ownership of tasks, requires zero hand-holding, and moves fast inside high-volume environments.
Key Responsibilities
1. Wholesale Order Processing & Logistics Coordination (75% of the role)
* Order Tracking:Monitor wholesale order lifecycles systematically from the moment of confirmation through to successful physical shipment and final delivery.

* Logistics Liaison:Coordinate actively with freight carriers and logistics partners to schedule, track, and optimize outbound shipments.

* Documentation Management:Prepare, review, and organize shipping manifests, packing lists, Bills of Lading (BOLs), and corporate invoices.

* Retailer Compliance & EDI:Support electronic data interchange (EDI) transactions, monitor retailer routing portals, and enforce total alignment with strict retailer vendor compliance manuals.

* Reverse Logistics:Track, audit, and resolve Wholesale Return-to-Vendor (RTV) claims and discrepancies.

2. HR Operations, Payroll & Systems Administration (25% of the role)
* Full-Cycle Payroll:Process bi-weekly corporate payroll accurately and on time, ensuring flawless execution of employee reimbursements, complex sales commissions, overtime calculations, and PTO pay.

* Lifecycle Administration:Manage the end-to-end employee lifecycle—overseeing onboarding architectures (offer letters, new hire compliance paperwork, JustWorks setup) and executing secure offboarding protocols (exit documentation, system deactivation).

* Policy Governance:Oversee company PTO policies, maintain organized employee files, and act as the internal point of contact for staff health insurance and general benefits inquiries inside the PEO platform.

3. Executive Support & Reporting
* Founder Assistance:Deliver comprehensive administrative assistance, managing ad-hoc tasks, coordination sprints, and personal/business requests for both Co-Founders.
