Role Overview

As the Executive Assistant, your primary mission is to act as the ultimate gatekeeper, operational partner, and strategic organizer for the Founder & CEO. This is not a passive administrative role; you will be deeply embedded in the daily operations of a fast-moving real estate ecosystem.

You will manage a heavy, complex calendar, take absolute ownership of an influx of email communications, coordinate property and client logistics, and ensure that tasks never fall through the cracks. The ideal candidate is a high-autonomy self-starter who possesses excellent English communication skills, a dominant organizational presence, and the confidence to manage up to a busy executive.

Key Responsibilities

1. Calendar, Inbox, & Gatekeeping Management
* Strategic Calendar Ownership:Manage a dynamic, high-volume executive calendar, scheduling property viewings, client pitches, investor meetings, and internal operational reviews while protecting the CEO's time.
* Inbox Triage:Monitor, tag, and prioritize incoming emails in the executive inbox; draft professional, articulate responses on behalf of the CEO to clients, brokers, and vendors.
* Task Tracking & Follow-up:Take detailed notes during meetings and translation of action items, tracking deliverables across the team to ensure deadlines are met.
2. Real Estate & Operational Support
* Deal & Property Coordination:Assist with organizing listing data, tracking transaction deadlines, managing property files, and coordinating logistics with agents, property managers, and legal teams.
* Document Control:Prepare, format, and organize sensitive documents, including real estate contracts, lease agreements, investor decks, and internal operational reports.
* Vendor & Client Relations:Act as a professional, polished liaison for high-value clients, contractors, and external vendors, ensuring inquiries are routed and handled with absolute professionalism.

Required Qualifications
* Direct Experience:4+ years of experience working as an Executive Assistant, ideally supporting C-suite executives, founders, or high-volume real estate principals.
* Industry Familiarity (Strong Plus):Prior professional exposure to real estate brokerage, property management, or construction workflows. Understanding basic real estate terminology and transaction cycles is highly advantageous.
* Tech Proficiency:Advanced capability within Google Workspace (Gmail, Calendar, Drive, Docs) and modern CRM/project management tools (e.g., Notion, Asana, Monday.com, or real estate-specific platforms).
* High Emotional Intelligence & Discretion:Ability to handle confidential financial and property data with complete integrity, maintaining a calm and structured demeanor under pressure.
