About the Role:
This is a high-impact position that serves as the operational backbone of our client's company. You will take full ownership of the day-to-day operational and administrative functions, managing everything from preparing engagement letters and fee quotes to overseeing complex job logs, appraiser payroll allocation, client invoicing, accounts receivable, and overall financial accuracy.
You will also maintain their critical templates and systems, ensure state licensing compliance, manage vendor portals, and lead HR processes including onboarding, employee records, and benefits administration.
They are seeking a highly competent, detail-oriented, and organized professional who excels at implementing structure and operational excellence in a fast-paced professional services firm. This is a mission-critical role that is essential to the smooth operation and continued growth of the company.
Key Responsibilities:
Financial & Payroll Management
* Complete pay allocation forms in Excel for each appraisal job and manage overall appraiser payroll.
* Track job-level expenses including mileage and travel reimbursements.
* Maintain the master job list; track all invoices and record client payments.
* Conduct accounting for CSVA, CVG, and RPG income and expenses.
* Prepare and distribute monthly invoices for primary clients.
* Collect receivables from clients when necessary.
Operations & Job Management
* Manage all job logs: book incoming assignments.
* Manage workload, scheduling, and task assignments for appraiser support analysts.
* Obtain temporary practice permits for appraisers as needed.
Client Relations & Business Development Support
* Prepare engagement letters and provide fee quotes (typically via email) to prospective clients.
* Serve as a point of contact for client billing inquiries and receivables follow-up.
Templates & Systems Management
* Manage all appraisal report templates: collect appraiser feedback, report issues to Valcre, and follow up on changes.
* Update market analysis sections in appraisal templates on a monthly basis.
* Manage all vendor portals including license renewals, E&O insurance certificates, and vendor payments.
* Manage state licensing applications and renewals, including tracking continuing education hours for CSVA Principals.
HR, Compliance & Administrative Affairs
* Manage employee onboarding and offboarding (termination) processes.
* Maintain digital and physical employee records, including E-Verify compliance where required.
* Handle the annual health insurance renewal process.
* Provide ADP 401(k) plan notices to employees and manage Form 5500 filing requirements.
* File financial statements provided by the accounting team.
* Complete the annual Atlanta Business Chronicle volume report.
Qualifications & Skills:
* Exceptional organizational skills with the proven ability to manage complex, multi-step processes and competing priorities with a high degree of accuracy and reliability.
* Strong competence in financial and administrative operations, including payroll allocation, invoicing, accounts receivable, expense tracking, and record-keeping.
* Proficiency in Microsoft Excel
* Excellent written and verbal English communication skills
* Demonstrated ability or aptitude to work effectively with HR platforms, payroll systems, and various administrative tools.
* Highly detail-oriented with strong analytical thinking and proactive problem-solving skills.
* A reliable, ownership-driven mindset with the capacity to take full responsibility for end-to-end operational processes and the complete employee lifecycle.
