About the Role
We're a performance marketing company generating leads at scale, coordinating$2M+ in monthly ad spendacross multiple media buyers. We're looking for anAd Account Operations Specialistto manage and maintain the ad account infrastructure that keeps our media buying team running without interruption.
This is a hands-on, high-responsibility role at the center of our traffic operations. You'll be the person our media buyers rely on to ensure they always have healthy, funded ad accounts and setups ready to go — and the person our leadership trusts to manage agency relationships, monitor spend, and keep everything running smoothly.
What You'll Do
Agency Management
* Set up assets such as Business Managers, profiles, pages, and ad accounts for assigned media buyers
* Maintain assets according to platform best practices and internal standards
* Proactively secure backup accounts so media buyers are never blocked from running ads
* Coordinate new company and platform setups as needed
External Relationship Management
* Manage relationships with 10+ agency ad account providers — opening, requesting, funding, and monitoring accounts across all providers
* Evaluate provider performance (delivery speed, account quality, reliability, cost) and maintain a provider scoring dashboard
* Coordinate with external providers to obtain reports, and process payments through Finance
Media Buyer Support
* Serve as the primary support contact for 10+ media buyers, troubleshooting account issues and resolving them quickly
* Fulfill 95% of all ad account requests within 48 hours
* Issue new ad accounts and proxies when accounts go down, ensuring minimal downtime
* Maintain clear communication with buyers on account status and availability
Balance Tracking & Top-Ups
* Monitor and track ad account balances across all platforms and agencies daily
* Coordinate balance top-ups depending on the provider
* Reconcile balances against actual ad spend and flag discrepancies
Tracking & Reporting
* Manage RedTrack and ClickFlare integrations and ensure accurate tracking across campaigns
* Maintain spreadsheets and dashboards that give leadership, finance, and media buyers real-time visibility into account status, spend, and provider performance
* Document and update all processes via written SOPs
What We're Looking For
Requirements
* At least 1 year of experiencein media buying, ad agency, or a hands-on ad account management
* Must be technically proficient and knowledgeable in AI tools
* Must be incredible organized
* Past experience excelling in fast-paced remote environments where you constantly need to fight fires
* Must have experience with Notion
* Basic understanding ofMeta Ads(Facebook/Instagram) infrastructure: Business Managers, ad accounts, profiles, pixels, and pages
* Strong analytical skills— you must be comfortable working with numbers and data. You'll regularly analyze ad spend, balance reconciliation, provider costs, and performance metrics to spot issues and make recommendations
* Exceptional communicator— both written and verbal, at a C2 level. This role requires constant, clear communication with media buyers, leadership, external agency contacts, and finance. You need to be someone who can explain problems clearly, escalate with context, and keep multiple stakeholders aligned without anything falling through the cracks
* Fast problem solver— things break constantly in ad operations. Accounts get banned, proxies go down, providers underdeliver. You need to be someone who stays calm under pressure, diagnoses root causes quickly, and finds creative solutions without waiting to be told what to do
* Fluent English— written and verbal (C2 level, non-negotiable)
* Ability to work within6/7 AM EDT - 7 PM EDT(this is non-negotiable — our team and partners operate in this window)
* Comfortable working across multiple messaging platforms (Telegram, Slack, Notion)
Nice to Have
* 1 year experience working with Meta media buying
* Familiarity with RedTrack, Clickflare, Keitaro, Everflow, AdsPower, or similar tracking platforms is a nice to have, but not necessary
* Experience managing proxy setups and rotating accounts
* Exposure to affiliate or performance marketing environments
