Part-Time Media Production Coordinator

* Provide administrative and coordination support to the Directors of Production
* Attend client meetings as needed to take notes and send follow-up communications
* Manage the production inbox and respond or route requests appropriately
* Support general production team needs across multiple projects
* Provide coverage when Production Managers are out of office
* Ensure episodes are published according to schedule for assigned shows
* Assist in quality assurance to ensure audio/video assets and metadata meet platform standards
* Support special projects and research initiatives as needed
* Submit staffing requests for high-priority shows
* Upload and organize media files within client databases
* Maintain organized Google Drive and Dropbox folder structures
* Ensure Airtable records are up to date with project information and milestones
* Track show accolades and production details
* Create project folders across Google Drive, Airtable, and Dropbox
* Set up project records and templates for kickoff decks and production schedules
* Support website updates for new projects
* Complete project wrap tasks at project completion
* Coordinate guest scheduling for high-priority shows
* Schedule client meetings and recurring project syncs
* Research and book recording studios as needed
* Order host and guest kits for productions
* Prepare and distribute guest release waivers via DocuSign
* 1+ year of experience in a production, coordination, or administrative support role (media, entertainment, or creative environments preferred)
* Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously
* Experience managing schedules, calendars, and production communications
* Proficiency with Google Workspace (Docs, Sheets, Slides, Drive)
* Experience using at least one project management or database tool (e.g., Airtable, Monday.com, Asana, or similar)
* Experience organizing files and maintaining shared folder structures in cloud-based storage (Google Drive, Dropbox, or similar)
* Clear written and verbal communication skills, including drafting professional emails
* High attention to detail and ability to follow established workflows and templates
* Ability to work independently, stay proactive, and support a fast-paced production team
* Highly organized, detail-oriented, and responsive
* Strong communicator with a collaborative mindset
