Pay Range: $1300 - $1700/month (varies based on skill set and experience level)

Work Location:This role is fully RemoteRole Overview:We’re looking for a highly organized, tech-savvy Executive Assistant / Project Coordinator to support two early-stage startups, as well as provide occasional personal and family-related support. This is a full-time, high-impact role for someone who thrives in fast-moving environments, can juggle multiple workstreams, and proactively keeps projects on track.
You will work closely with the founders—who are managing two startups, a tight launch timeline, and a growing list of personal and professional responsibilities. This role goes far beyond traditional virtual assistance; it requires strong project coordination skills, excellent communication, and the ability to seamlessly switch contexts throughout the day.
Duties and Responsibilities:
Executive & Business Support
* Manage day-to-day administrative tasks across two early-stage startups.
* Track priorities, deadlines, and follow-ups using tools like Asana or similar project management platforms.
* Coordinate meetings, calendars, travel, and logistics.
* Support operations and administrative workflows as needed.
* Help keep the founders organized and ahead of schedule.
Project Coordination
* Handle multi-step workflows with minimal guidance.
* Keep projects moving by following up with the right people, clarifying tasks, and ensuring nothing falls through the cracks.
* Support a variety of workstreams, including upcoming launch activities
* Collaborate with a broader volunteer team within one of the startups.
Personal Support
* Assist with personal admin tasks for the founders and their family (e.g., insurance items, travel booking, errands, scheduling).
* Occasionally support the founders’ family members with tasks such as tech troubleshooting, document management, and admin tasks.
Minimum Qualifications:
Language requirement:English Communication Skills
Education:Bachelor's Degree (advantageous)
Experience:3+ years of experience in an admin related role
* 3+ Experience as an EA, project coordinator, or similar hybrid role.
* Strong familiarity with project management tools (e.g., Asana, Trello, Notion).
* Experience in early-stage or fast-paced startup environments is a plus.
* Exceptional organization and ability to manage many moving pieces.
* Experience managing complex workflows.
* Tech-savvy, comfortable adopting new tools quickly.
* Strong initiative and ability to anticipate needs before being asked.
* Skilled in communication, follow-through, and prioritization.
* Comfortable working independently.
