Work Hours (Client): 8:00 AM - 5:00 PM CST (Central Standard Time)

Holidays: South Africa holidays

Pay Range: $1000 - $1500 USD/month(varies based on skill set and experience level)

We are a home care agency franchise dedicated to providing high-quality care services. As we scale our operations, we are seeking a detail-oriented and proactive Virtual Assistant to support our recruitment and scheduling processes.

Executive Assistant & Operations Coordinator

We are seeking a versatile and proactiveExecutive Assistantto act as a strategic extension of the owner. This is not a typical administrative role; we are looking for a "unicorn" who balances high-level executive support with foundational bookkeeping skills and technical resourcefulness.

You will be responsible for managing day-to-day communications, handling light financial categorization for a real estate business, and spearheading "special projects" involving data scraping and lead sourcing. The ideal candidate is tech-savvy, highly organized, and capable of operating independently to free up the owner’s time for strategic growth.

Duties and Responsibilities:
* Executive Support:Manage the owner’s inbox and communications, ensuring high-priority items are addressed and professional standards are maintained.
* Light Bookkeeping:Perform basic financial tasks including categorizing transactions (specifically for a real estate entity) to ensure records are tax-ready throughout the year.
* Special Projects & Lead Sourcing:Conduct research to source data for business and property acquisitions. This includes scraping public databases to find contact information (names, phone numbers, etc.) and organizing it in a CRM or Excel.
* Data Entry & Management:Maintain accuracy across various spreadsheets and CRM systems; ensure all lead lists and business data are clean and actionable.
* Workflow Efficiency:Utilize AI tools (ChatGPT, Claude, etc.) to enhance productivity, draft communications, and streamline repetitive tasks.
Minimum Requirements:
* 5+ years of experience in customer service, scheduling, or a related field.
* Prior experience as a Virtual Assistant, Receptionist, Scheduling Coordinator, or similar administrative role.
* Strong communication skills, both written and verbal, with the ability to interact effectively across different time zones and cultures.
* Quickbooks & Excel required
* Familiarity with scheduling CRMs.
* Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
* Ability to work independently and escalate issues when needed.
* Proficiency in English
* Strong organizational skills and attention to detail.
Preferred Skills:
* Experience in the home care, healthcare, or service-based industries.
* Knowledge of social media management and basic SEO strategies.
* Tech-savvy with the ability to quickly learn and navigate new tools and systems.
