Role Overview
The Flight Operations Coordinator manages the operational side of booked flights to ensure every trip runs smoothly from confirmation to wheels-up. This role exists to make sure nothing breaks once a flight is booked and requires strong attention to detail, execution focus, and ownership of end-to-end processes.
Key Responsibilities
* Own trips from booking through completion
* Coordinate directly with charter operators to confirm schedules, aircraft, crew, and logistics
* Monitor upcoming flights and proactively identify potential issues
* Handle schedule changes, delays, and operator updates calmly and clearly
* Serve as the primary point of contact for clients via email, phone, and SMS
* Communicate trip details and updates in a clear, professional manner
* Ensure all trip documentation is accurate and complete
* Coordinate with internal teams on payments, confirmations, and escalations
* Track trip status and maintain accurate internal records
* Resolve issues quickly and prevent repeat problems
* Ensure every trip is executed efficiently and without errors
Qualifications
* 2+ years in operations, logistics, travel coordination, or client support
* Strong attention to detail and follow-through
* Ability to manage multiple trips simultaneously without missing details
* Excellent written and verbal communication skills
* Calm under pressure and comfortable handling last-minute changes
* Strong ownership mindset; ability to see processes through end-to-end
Preferred / Bonus Experience
* Experience in private aviation, charter, or luxury travel
* Familiarity with flight operations, scheduling, or FBO coordination
